July Board Meeting

Call to order:
The meeting was called to order by Mr. Stephan at 7:00 PM
Mr. Stephan welcomed Dr. Julian to the Board.
Minutes
Dr. DiLorenzo moved that the minutes of the June meeting be approved. Mr. Stephan seconded.

Financial Report:
The financial report was presented.
INVOICES AND WARRANTS
Dr. DiLorenzo moved to approve the financial report and approve payment of invoices and warrants; Mr. Stephan seconded. The motion passed unanimously.
DIRECTOR'S REPORT
Ms. Thomas distributed copies of a written director's report (see attachment). She also distributed a report about children's services prepared by Youth Services Librarian Jennifer Taylor.
ANNOUNCEMENTS
Ms. Thomas announced that the next West Virginia Library Commission meeting would be August 23 at 10:00 a.m. in the Princeton Public Library. She reported that WVLC had announced that they had received the first transfer from Lottery Funds and therefore would be ready for the first disbursal of funds, but Maintenance of Effort statements had to be submitted first.
OLD BUSINESS
Maintenance Contract for Library Heating and Cooling System
Ms. Thomas said that she had received quotes from Johnson Boiler and Neidhart. She said that Johnson Boiler did not have any other on-going maintenance agreements. This would be the first time they had offered that service. Their quote was $9500 per year. Neidhart offered a 2-year contract at $852 per month, or $20,448 for the duration of the contract. H. E. Neumann is currently charging the library $1,350 per month. Mr. Stephan noted that the Neidhart bid would not supply parts. Dr. Julian said that the Johnson Boiler contract included any parts costing under $100 and excluded any labor charges over $500. Ms. Thomas said that Neumann's contract includes some, but not all, parts. Dr. Julian suggested asking H. E. Neumann to either match the lower bid or release the library from the current contract. Mr. Stephan said that he would like to go over the estimates in detail, and Ms. Thomas said that she would distribute copies.
Gates Library Foundation and Carpet Replacement
Ms. Thomas said that this had been discussed in her director's report.
Chamber of Commerce Membership
Ms. Thomas said she had met with Joe Ripoly who is in charge of membership at the Chamber and that the cost of membership for a nonprofit organization was $110 per year. The associate membership option is only for personal memberships.
Dr. Julian moved that the library join. Dr. DiLorenzo seconded. The vote was unanimous.
NEW BUSINESS
Introduction to Gates Computers
Ms. Thomas took the Board members and others at the meeting on a tour of the library to view the newly installed Gates Library Foundation computers and the computer furniture installed in the children's section.
